Troubleshooting

What Careers Orbit's messages mean when something can't be done, and what to do about each: plans, publishing, addresses, email, calendars, texts, offers and more.

Reference6 min read

When Careers Orbit can't do something, it says why in a message at the bottom of the screen or next to the field. This page lists the common ones, grouped by where you meet them.

Your role or plan

"Your Careers Orbit role doesn't allow that. Ask an admin of your organisation." Your role doesn't cover this action. Admins change roles under People. See Who can do what.

"… is not in the Careers Orbit Starter plan. Growth and above include it …" The feature is in a bigger plan, such as SMS and WhatsApp, offers, referrals or calendar sync. Anything already set up is kept. An owner can upgrade under Billing in Orbit. See Plans and the trial.

"Careers Orbit is paused since the trial ended …" (or "since the plan ended"). Your career pages are offline, and jobs, the career site and settings can't change until an owner chooses a plan. You can still read, move and reply to candidates, export and handle data requests.

"Your Careers Orbit Starter plan includes 5 active jobs. Close a job first …" Published and internal-only jobs count towards the plan. Close one, or ask an owner to upgrade. Drafts, closed and archived jobs don't count.

"Careers Orbit has no plan for this organisation yet, so jobs can't go live." An owner needs to choose a plan or start a trial under Billing in Orbit.

Publishing jobs

Publish says what is missing before a job can go live, one thing at a time:

  • "Add a title"
  • "Write a description of at least a few sentences" (at least 40 characters of text)
  • "Choose at least one location, or make the job remote"
  • "The closing date has passed": change or clear the closing date under Publishing & SEO.
  • "Templates can't be published. Create a job from it instead."

Other messages:

  • "Job ads are reviewed before they go live here. Send it for review." Your organisation reviews job ads first. See Review job ads before they go live.
  • "Someone else needs to review a job ad you sent for review": ask a colleague who may review.
  • "Close the job before changing its address, so shared links keep working"
  • "Restore the job from the bin first": open the bin and restore it.
  • "Everyone on the hiring team needs Careers Orbit in Orbit": give the person Careers Orbit under Members in Orbit, or take them off the team.

Your own career site address

  • "Use a subdomain such as jobs.northwilds.com. The domain itself usually already points at your website."
  • "… is already another organisation's career site address": each address can only belong to one organisation.
  • Waiting for DNS or "Not found yet. We keep checking every 10 minutes." The DNS records aren't found yet. Check them where your domain's DNS is managed; changes can take a few hours.
  • Waiting for the certificate: the record is found and the certificate is being issued. This usually takes a few minutes.

See Addresses and your website.

Your own sending domain

  • "Use a domain your organisation owns, not a shared email service": addresses at services such as Gmail can't be used.
  • "… is already registered with our email provider. If it's yours, contact us and we'll move it to your organisation."
  • "Remove the current sending domain first": there is one sending domain at a time.
  • Waiting for DNS: not every record is confirmed yet. It can take up to an hour after the records are in your DNS; Careers Orbit checks every 10 minutes and switches over by itself.
  • Failed: "Our email provider couldn't find this domain. Remove it and set it up again."

With the Cloudflare option:

  • "Cloudflare doesn't accept this token …": it may be mistyped, expired or deleted. Create a new one and paste it again.
  • "This token can't edit DNS on northwilds.com …": create one with Zone, DNS, Edit and your domain under Zone Resources.
  • "Cloudflare doesn't show northwilds.com for this token …": create the token in the Cloudflare account that has the domain.
  • "One record needs a change by hand": a record clashes with one that is already there, such as a second SPF record. Careers Orbit never changes existing records; the note under the record says what to change.
  • "Cloudflare is limiting requests right now. Wait a minute and try again."

See Email sending.

Emails and templates

  • "Kari hasn't confirmed consent yet, so emails wait." People added by hand get only the consent request until they confirm. On their profile you can send a new consent request.
  • "Keep {consentLink} in the consent request …", and the same for {schedulingLink}, {referralLink} and {offerLink}: these templates need their link, or candidates can't act on them.
  • "There is no variable called {…}": check the spelling against the variables listed under the message.
  • "This template is used by Careers Orbit itself. Change its text instead."
  • "An automation sends this template. Change the automation first."

See Emails to candidates.

Interviews and calendars

  • "No time in those days suits every interviewer …": offer more days, fewer interviewers, or ask them to check Your availability.
  • "… isn't on this job's hiring team …": add the interviewer under the job's Hiring team first.
  • "Offer at most 60 days"
  • "Connect your Google Calendar under Your availability first, or paste a video link": Meet and Teams links need your own calendar connected.
  • "Google Calendar isn't switched on for Careers Orbit yet": the Orbit team hasn't connected the calendar apps on this server. Email invitations still work.
  • Last try failed on a calendar card: the calendar stopped answering, for example after a password change. Disconnect it and Connect it again. Until then, times come from your weekly hours.
  • "That time has just gone. Choose another." (for the candidate): someone else booked it a moment earlier.

See Interview scheduling.

Texts

  • "Connect SMS under Settings, Messages first" (or WhatsApp).
  • "WhatsApp automations need a text template linked to an approved WhatsApp template": link the template on Messages. See SMS and WhatsApp.
  • A text marked Not delivered shows the provider's reason on the timeline.

Offers

  • "Move the candidate to an offer stage first"
  • "This application already has an open offer. Withdraw it first."
  • "Someone other than the person who made the offer has to approve it"
  • "This offer is still waiting for approval" or "Send the offer for approval first": your organisation has A second person approves turned on.
  • "Keep at least one offer template"

See Offers and e-signature.

Candidates and data

  • "Kari Nordmann is already a candidate for this job": open the existing profile instead.
  • "This candidate's data is on legal hold. Lift the hold first." See Data requests.
  • "Only the organisation's owner can delete a job for good", and "This job has applications. Keep it in the bin until they are erased under your retention rules." See Retention rules.

What candidates see

  • "Temporarily unavailable" on your career pages: the trial or plan has ended, so Careers Orbit is paused until an owner chooses a plan. See Plans and the trial.
  • "That file is larger than 10 MB." or "Choose a PDF or Word file." when applying.
  • "This offer has expired …" or "This offer is no longer available …": the offer expired or was withdrawn. Make a new one if you still want to hire them.
