Assessments and video interviews

Send skills tests and one-way video interviews through TestGorilla or any tool with a link, see results on the profile and next to scorecards, and start automations when someone completes one. Results never decide on their own.

Careers Orbit doesn't test candidates itself. It connects to the tools you already use, sends candidates their personal link in your colours, and brings the result back to the profile. Everything stays off until an admin sets it up under Settings › Assessments.

Assessments and video interviews are in the Growth and Enterprise plans. Results for tests sent before a move to Starter still arrive. See Plans and the trial.

What you can connect

  • TestGorilla for skills and personality tests. Its API comes with TestGorilla's Plus and External Recruitment plans; ask TestGorilla's customer success team for an API token and paste it under Connections.
  • Any tool with a link, such as a one-way video interview tool, a coding exercise or your own form. Add the link as an assessment or a video interview.
  • Live video interviews use your calendar instead: with Google Calendar or Microsoft Outlook connected under Your availability, Careers Orbit creates a Meet or Teams link for each interview. See Interview scheduling.

Add an assessment

Under Assessments, choose New assessment and fill in:

  1. Name candidates see, such as Route planning test, in each of your languages.
  2. Kind: assessment or video interview.
  3. Through: a link, or TestGorilla with the TestGorilla assessment ID (the number in the assessment's address in TestGorilla).
  4. For a link, the address. {reference}, {email}, {firstName} and {lastName} are filled in per candidate, for example https://video.northwilds.com/trip-leader?ref={reference}, so the tool can send the result back.
  5. Highest score, if the tool scores out of something other than 100.
  6. Usual stage and For, so the profile suggests it at the right moment and only for the right jobs.
  7. Email to the candidate, with the same variables as email templates. Leave it empty for a short standard text. The button with their personal link is added below.

Send one

On the candidate's profile, under Assessments and video interviews, choose Send and pick one. Assessments for the candidate's current stage come first. Anyone who may email candidates for the job can send; the candidate must have confirmed consent if you added them by hand. Automations can send them too, for example when someone enters the Screening stage.

Results

  • TestGorilla: Careers Orbit checks every few minutes and records the average score out of 100 when the candidate finishes.
  • Other tools: they post the result to the results webhook under Connections, or someone with feedback rights for the job enters it with Enter the result: a score, what it's out of, an outcome, a summary and a link to the full report. Results can be corrected later; the history keeps both.

The hiring team is notified when a result arrives. It shows on the profile and at the top of each scorecard, as context for the interviewers.

Results never decide

A result is one input for people to weigh. It never moves, rejects or hires anyone. An automation started by Someone completes an assessment can notify people, tag or send something, but can't move the candidate. The EU AI Act treats software that evaluates candidates as high risk, so Careers Orbit keeps a person in every decision.

The results webhook

For developers connecting another tool: send POST to the address shown, with a JSON body such as

and two headers: X-Careers-Timestamp (Unix seconds) and X-Careers-Signature, which is sha256= followed by the hex HMAC-SHA256 of the timestamp, a dot and the raw body, using the signing secret from Make a new signing secret. Requests more than five minutes old are refused. Send "status": "started" when the candidate begins, if the tool knows. The answer is 200 when recorded, 401 for a wrong signature and 404 for an unknown reference.

Privacy

Careers Orbit sends the tool only the candidate's name and email. Results are part of the candidate's data download, and erasing a candidate erases their assessments in Careers Orbit; delete them in the tool as well, since it keeps its own copy. Add the tool to your own list of processors.
