Bundesagentur für Arbeit

Post jobs to the Jobsuche of Germany's Federal Employment Agency through its HR-BA-XML interface, with an occupation for each job.

How-to guide3 min read

The Bundesagentur für Arbeit (BA) publishes jobs in its Jobsuche, free for employers. Careers Orbit writes your jobs in the BA's HR-BA-XML format, the version the BA currently uses, and checks them against its rules.

What you need

The BA works with each organisation directly.

  1. Email the BA's service team (service-haus.vam-accountmgmt@arbeitsagentur.de) and ask for a cooperation agreement (Kooperationsvereinbarung) under the employer model. You need an employer account with the BA.
  2. After signing, the BA sends your supplier ID, your alliance partner number (Allianzpartnernummer) and a client certificate, with its password in a separate email.

The BA promises a prompt answer but publishes no time. Plan for a few weeks.

Connect the BA

  1. Open Job boards and find Bundesagentur für Arbeit.
  2. Open Connection settings and fill in:
    • Supplier ID: a letter and nine digits, such as V123456789.
    • Alliance partner number: digits only. It starts every job's ID at the BA.
    • BA customer number: your employer account's Kundennummer, such as A123B45678.
    • Contact surname: the BA shows a contact person on every job. A team name such as Recruiting works, up to 30 characters.
    • Contact salutation (optional): 1 for Herr, 2 for Frau, 3 for both, the default.
    • Client certificate and Certificate password (optional): the .p12 file from the BA as base64, and the password from its separate email. They are only needed for uploads.
  3. Choose Save, select Test connection, then turn the board on. The test names the file it would build and how many jobs are in it.

Choose each job's occupation

The BA files every job under one of its occupations. On the job's Publishing & SEO tab, under Where it's posted, choose the occupation:

  • Search the list of common occupations, such as Reiseleiter/in or Berg- und Skiführer/in.
  • If yours isn't there, type the BA's occupation number, such as 6962. The BA's full list is in its WebTool once you have the agreement.

A job also needs a location and a description of at least 30 characters. A job missing any of these shows Missing details and isn't sent. The BA would also like a German version of the ad and a salary shown on the job.

Sending jobs

The BA takes files through an upload secured with its client certificate.

Be aware: uploading is switched off until the certificate is in place and Bifröst Orbit has switched uploads on. Until then:

  1. Select Download the file on the BA's card, once the board is on. It holds every job ready for the BA.
  2. Sign in to the BA's HR-BA-XML WebTool and upload it.

Jobs show Waiting for the board until you select I've seen it live.

What the BA receives

  • Your job ad in German if the job has a German version, otherwise in your main language
  • The locations, home office for hybrid and remote jobs, working hours and the salary when you show it (monthly salaries as a yearly amount)
  • A link to apply on your job page, and your contact email

When a job closes, Careers Orbit asks the BA to remove it with the next upload.
