The hiring room
Each job's board of candidates by stage, with drag and drop, actions on many candidates at once and the hiring team's activity a click away.
How-to guide3 min read
Every job has a Hiring room tab. It shows the job's candidates in a column per stage of your pipeline, with how many are in each. The column for candidates not taken forward is folded to a narrow strip with its count; click the arrows to open it, or drop a card on it to reject someone.
Cards
Each card shows the candidate's initials, name, when they applied and where from, and, when there is something to know:
- a dot before the name if nobody has opened the application yet;
- the average rating from the team;
- a CV icon if they sent one;
- a shield if a screening answer doesn't fit what the job needs;
- Reply if they answered an email and nobody has read it;
- Consent if you added them yourself and they haven't confirmed yet;
- the next interview, or Choosing a time while they pick one;
- the rejection reason, on cards in the rejected stage;
- their first tags.
Click the name to open the candidate's profile. Find on the board narrows the cards by name, email, source or tag.
Moving candidates
- Drag a card to another column.
- With the keyboard: move to a card with Tab, press Space to pick it up, the arrow keys to choose a column and Space to drop it.
- With the menu: point at a card and click the three dots to list the stages.
The card moves at once; if the move isn't allowed, it goes back and you see why.
Rejecting
Dropping a card on the rejected stage, or choosing Reject, asks for a Reason and an optional Note for the team. Only your team sees them, and reports count the reasons. If your rejection automation is on, the dialog says when the candidate gets the rejection email, such as in 2 days, unless you bring them back before then. Without it, no email goes out on its own. See Automations.
Several at once
Point at a card's initials and tick the box that takes their place, or tick the box next to a column's name for everyone in it. Once one card is ticked, every card shows its box. A bar appears at the bottom:
- Move to another stage.
- Email them, with a template in each person's language or a message you write. See Emails to candidates.
- Tag them, or remove a tag.
- Reject them, with one reason for all.
Dragging a ticked card moves every ticked card. Escape clears the selection.
The hiring team's activity
Team activity above the board opens Hiring team activity: who moved, rejected, rated or commented on whom, newest first, with the rejection reason or the start of the note.
Offers
The Offers tab next to the hiring room lists every offer for the job and where it stands. Offers are made from a candidate's profile once they are at an offer stage; see Offers and e-signature.
Who can do what here
Admins and recruiters can do everything. People on the job's hiring team see its candidates, rate them and leave notes; hiring managers may also move, reject and email them when the job allows it on its Hiring team tab. See Who can do what.
On your phone
The Orbit app for iPhone has Careers Orbit built in. Open Careers to see your jobs, then a job's stages side by side: swipe between them, tap a candidate to read their answers and timeline, open their CV, rate them, leave a note, move them to another stage or reject them with a reason. The emails each stage sends go out as they do from the web. The app also lists today's and coming interviews and the offers waiting for your approval, and approves or sends back job ads in review from its Tasks.
What you may do in the app is the same as on the web.
