Email sending

Choose the name candidates see, your contact email, where replies go, and send from your own domain.

Open Settings › Email sending. Admins can change it; everyone else can look.

Sender

  • Sender name: the name candidates see next to every email from Careers Orbit, such as "Northwilds hiring team". Leave it empty to use your career site's name.
  • Contact email: shown at the foot of your career pages and candidates' emails, such as jobs@northwilds.com. Replies to confirmation emails go here, and job boards use it when they ask for one.

Replies go to decides where a candidate's answer lands:

  • The candidate profile: the reply appears on the profile, so the whole hiring team sees it. This is the default, and works once email replies are set up for Careers Orbit.
  • The contact email: replies go to the contact email and don't appear on the profile.
  • The person who sent it: replies go to the inbox of whoever wrote the email.

Press Save changes to save the sender.

Your own sending domain

Emails go out from Careers Orbit's own address with your name. To send from your own domain instead, follow the three steps under Your own sending domain:

  1. Choose the address: enter the part before the @, such as jobs, and your domain, such as northwilds.com, then press Set up.
  2. Add the DNS records shown, wherever your domain's DNS is managed. Each name and value has a copy button, and Show all shows a long value in full. If your DNS is at Cloudflare, set them to DNS only, not proxied.
  3. Check and switch over: press Check now, or wait: Careers Orbit checks every 10 minutes. Records can take from a few minutes to a few hours to be found.

The badge shows where it stands: Waiting for DNS, Verified or Failed. Once it shows Verified, emails to candidates come from your address. Replies still go where you chose under Sender. Remove, or Stop sending from it once verified, goes back to Careers Orbit's address; you can delete the DNS records afterwards. You can't use a shared email service such as Gmail, only a domain your organisation owns.

A domain you already use in Travel Orbit or Commerce Orbit

A domain is set up once for your whole organisation. If you already send from northwilds.com in Travel Orbit or Commerce Orbit, step 1 shows it as already set up: choose the part before the @, such as jobs, and press Use this domain. If it is verified there, emails to candidates come from it straight away, with no DNS records to add. If it is still waiting for DNS, the records are the same in both, and it switches over in both once they are found.

Stopping sending from it in Careers Orbit leaves it working in the other satellites that use it, so keep its DNS records in place. Only when no satellite uses it any more is it removed from our email provider, and then you can delete the records.

If your DNS is at Cloudflare

Careers Orbit sees when your domain's DNS is at Cloudflare and offers to add the records for you:

  1. Press Create the token at Cloudflare. The page opens with the permissions filled in (Zone Read and DNS Edit). Under Zone Resources, choose Specific zone and your domain, such as northwilds.com, then create the token and copy it.
  2. Paste the token and press Add the records.

Careers Orbit adds the missing records as DNS only. It never changes or deletes records that are already there. If one clashes, such as a second SPF record on the same name, it is left alone and the record shows what to change by hand. The token is used once and never stored, so you can delete it in Cloudflare afterwards. Add them by hand instead shows the records if you'd rather add them yourself.
