Adding and importing candidates

Add someone you met yourself, or import a spreadsheet of people, to a job or to the talent pool, and ask for their consent.

How-to guide2 min read

Most candidates apply themselves. You can also add people you met at a fair or who were recommended to you. Admins and recruiters can add candidates, and hiring managers can for jobs where they may move candidates.

Adding one person

Under Candidates, choose Add candidate, or Add candidate in a job's hiring room.

  1. Under Who, fill in the First name, Last name and Email, and anything else you know: Phone, Location, LinkedIn, and the language they write in. Emails to them use that language.
  2. Under Where, choose the Job. They start in its first stage. Or choose No job yet, keep them in the talent pool.
  3. Add a Source, such as Outdoor fair Oslo. Reports count it.
  4. Leave Ask for consent on, and choose Add candidate.

If the email address is already a candidate, they are added to the job instead of twice.

Importing a spreadsheet

Choose Import and pick a CSV file, saved from Excel, Numbers or Google Sheets with commas or semicolons. The first row must name the columns. A file can have up to 1,000 rows and 2 MB.

  1. Under Columns, Careers Orbit matches the columns to fields: first name, last name, full name, email, phone, location, LinkedIn, tags and source. Vorname becomes First name and E-Mail becomes Email, for example. Check the match and change it where needed, or choose Leave out. Email and a first or full name are needed.
  2. Under Where and how, choose the job in Add to job, or No job, keep them in the talent pool.
  3. Under Already a candidate, choose Leave them to skip people you already have, or Update them to fill in an empty phone number or location, add the tags from the file and add them to the job.
  4. Add a Source for files without a source column, and leave Ask for consent on.
  5. Choose Import, which shows how many people the file holds.

Afterwards you see how many were added, updated and skipped, with the row number and reason for each skipped row.

Someone you add hasn't agreed to anything yet. With Ask for consent on, they get an email asking them to agree that you keep their details. The link opens a page on your career site where they confirm with one button.

Until they confirm, the profile says so, and Careers Orbit sends them no other email, not from you and not from automations. Send again on their profile sends a new request.

Only add people who would expect to hear from you, and turn Ask for consent off only when you already have their agreement some other way.
