Job boards

Post your published jobs to Google for Jobs, Indeed, LinkedIn and the Bundesagentur für Arbeit, see where each job is live, and track where applications come from.

Explanation5 min read

Careers Orbit sends your published jobs to the main job boards, keeps them up to date when you change a job and takes them down when it closes. You connect each board once under Job boards, and every job then shows its status on each board on its Publishing & SEO tab.

Job boards are in every plan. Admins connect boards; everyone else can look.

Be aware: Indeed, LinkedIn and the Bundesagentur only take jobs from partners they have approved. Until an approval is through, Careers Orbit builds the feeds and files and checks them, but the boards don't read them yet. The cards under Job boards say what each board still needs.

Connect a board

  1. Open Job boards. The tiles at the top show each board's status at a glance, such as Always on, Connected or Not connected, with how many jobs are live; select one to jump to its card.
  2. Read What it needs on the board's card.
  3. Open Connection settings and fill them in, then choose Save. The closed panel lists what is still needed. Secrets are stored sealed and never shown again; to replace one, type a new one.
  4. Select Test connection. Careers Orbit builds the feed or file for your open jobs and tells you what it would send and which jobs lack details. Changing a setting clears the last test, so test again after.
  5. Turn the board on with the switch at the top of its card. It can't be turned on while required settings are missing.

Post new jobs here decides whether every published job goes to the board. Turn it off to choose job by job.

For boards that read a feed, Feed address under Connection settings has the address to send to the board, with a copy button. It lists only jobs posted to that board, and only while they are open. If the address has leaked, choose Make a new feed address and send the new one to the board.

Where each job is posted

The Where it's posted panel on a job's Publishing & SEO tab shows each board with one of these statuses, and a Connect button that opens the board's card under Job boards if it isn't connected yet. Google's line shows Ready, Missing details or, for a job that isn't published yet, When published.

Live
Meaning
The job is on the board.
Waiting for the board
Meaning
The job is in the feed or file, and the board hasn't shown it yet.
Missing details
Meaning
The board needs something the job doesn't have yet, such as a location. The panel says what.
Rejected
Meaning
The board turned the job down. The panel shows the board's reason. Change the job and save it, and it is sent again.
Couldn't send
Meaning
Careers Orbit tried several times and stopped. Check the board's settings.
Taken down
Meaning
The job left the board because it closed or you turned the board off for it.
Off for this job
Meaning
Someone turned the board off for this job.
Not connected
Meaning
The board isn't connected under Job boards.

Use the switch beside a board to keep one job off it, or to post one job to a board you don't post to by default.

Indeed's feed and LinkedIn's Basic Jobs don't tell Careers Orbit when a job goes live. When you see it there, select I've seen it live; the audit trail notes who said so. If a board turns a job down by email, select It was rejected and paste the board's reason, so the job's owner knows what to change.

When a board rejects a job, or Careers Orbit can't send it, the job's owner gets a notification.

Closing a job

A closed job leaves the feeds at once, and Careers Orbit takes it off every board within 15 minutes. Applications stay with the job.

The public job feed

Some boards and partners read any feed of jobs. Turn on Public job feed at the bottom of Job boards to publish your open jobs as JSON and XML next to your hosted career pages, for example app.bifrostorbit.com/careers/jobs/northwilds/feed.xml. The JSON feed is at feed.json beside it. It lists only published jobs, never internal-only ones, and refreshes within five minutes of a change. A closed job leaves it at once.

Where applications come from

Every application records where it came from, so reports can compare channels:

  • Board applications: Indeed Apply applications are marked Indeed.
  • Campaign links: add utm_source, utm_medium and utm_campaign to links to your jobs, such as ?utm_source=newsletter&utm_campaign=autumn-guides. Careers Orbit keeps them even when the candidate opens another page before applying.
  • Other websites: when a candidate arrives from another site, its name is kept, never the full address.

Feeds add utm_source to job links themselves, so visits from Indeed and LinkedIn count too. The candidate's profile shows the source above the application.
