Data requests
Answer candidates who ask to see, correct or erase their data, from their account or by email, within the month shown on each request.

Admins find requests under Settings › Data requests, with a count in the sidebar while any are open. Other roles don't see the page. Open lists requests waiting for an answer, soonest first; Answered lists the ones you answered or declined.
Where requests come from
- From their account: candidates ask for a correction or erasure in the candidate portal. Admins get a notification in Orbit and by email.
- Logged by the team: when a request reaches you by email, post or phone, choose Log a request. Enter Their email address, optionally their name, what They asked for, the day it Arrived on and, optionally, what they wrote. The month to answer starts on the day it arrived.
Each request shows Answer by, one month after it arrived, and how many days are left or how late it is. If you need longer, tell the candidate why before that date. The Privacy page counts open and overdue requests too.
Answering
Open the menu on a request:
| Asked for | What to do |
|---|---|
| A copy of their data | Download their data for a file with everything Careers Orbit holds, including your team's notes and ratings, then send it to them and Mark as answered |
| Correction | Open their profile, correct what they asked, then Mark as answered with a note of what changed |
| Erasure | Erase their data. A dialog names what will go and asks you to type their first name; the request closes as answered |
Mark as answered takes an optional note of what you did. If you can't do what they asked, Decline with the reason, so you can pass it on.
If an erasure request is for an email address Careers Orbit doesn't know, Erase their data says nothing is stored about them. Choose Close the request and tell them nothing was kept. Whether internal notes belong in a copy, and when a request may be declined, are questions for your lawyer.
Answered requests move to Answered. Once a candidate is erased, the request keeps only what was asked and when, without their name or email address.
A candidate on legal hold can't be erased from a request until the hold is lifted.
