Talent pool and campaigns

Find people in your talent pool by tag, place, interest and consent, email them a campaign in their own language, and tell them about new jobs with job alerts.

How-to guide3 min read

Open Hire › Talent pool. Recruiters and admins can use it; hiring managers and viewers can't, because the pool isn't tied to their jobs.

Campaigns and job alerts are in the Growth and Enterprise plans; finding people in the talent pool is in every plan. See Plans and the trial.

Who is in the talent pool

People join the talent pool from the form on your career pages, from the SDK's TalentPoolSignup, or by ticking the box when they apply. Each of them agreed to be kept for future jobs, for the time set under Privacy. When that time is nearly over, Careers Orbit asks them whether to stay.

People shows everyone whose consent is active, most recently active first. Filter narrows them down by:

  • Consent: everyone, people whose consent ends within 30 days, or people who asked for job alerts;
  • Tags, such as winter-season: people with any of the tags;
  • Where they live: part of their location, such as Tromsø or Germany;
  • Interested in: departments they chose when joining, or departments of jobs they applied for.

People who unsubscribed, haven't confirmed consent yet or whose consent has run out are never shown or emailed.

Segments

A segment is a saved filter, such as winter guides who live in Norway. Select Save as segment under a filter, or New segment on Segments. A segment holds whoever fits it on the day, so it grows and shrinks as people join, renew or leave.

Campaigns

  1. On Campaigns, select New campaign, name it, choose who it goes to (everyone or a segment) and one of your own email templates. Put {jobsLink} in the template for a link to your jobs.
  2. The preview shows the email as the first person gets it, in their language. Each person gets the template's translation in their own language, or your main language where there is none.
  3. Select Send. Careers Orbit checks each person again just before their email goes, so someone who unsubscribed a minute ago is left out. Large campaigns go out over a few minutes; Stop sending keeps the rest from going.

Every campaign email ends with a link to stop them, and email apps show their own unsubscribe button. Stopping them also stops job alerts; the same page lets people leave the talent pool altogether. Each email shows on the person's timeline and in the audit trail.

What is counted

  • Sent: emails handed to the email service.
  • Opened: not tracked. Careers Orbit puts no tracking pixels in emails.
  • Clicked: people who opened a link in the email at least once. Links go through Careers Orbit, which counts the click and sends them on, with utm_source=talent-pool so their applications show that source in Reports.
  • Applied: people who applied for any job within 30 days of the email.

Open a sent campaign to see who it went to, who was left out and why, and who clicked and applied.

Job alerts

People can tick Email me when a new job opens when they join the talent pool. When a job goes live, Careers Orbit emails them with the New job alert template, which you can change under Email templates. Someone who chose departments when joining only hears about jobs in those departments; everyone else hears about every job. Each job sends its alerts once, even if it closes and goes live again. Internal-only jobs send none. Alerts show under Campaigns with their own numbers.
