The candidate portal
Candidates sign in to Your applications on your career site with an email code to follow their applications, add documents, withdraw, download their data and ask for corrections or erasure.
Explanation2 min read
Every career site has Your applications, a place where candidates look after their own applications and data. It is in the header of your hosted career pages, and websites using the Careers SDK can add it with the CandidatePortal component.
Signing in
Candidates enter the email address they applied with and get a six-digit code. The code works once, for 10 minutes, and stops working after five wrong tries. They get the same answer whether or not the address has applied, so nobody can use the form to find out who applied to you. They stay signed in for two hours.
What candidates can do
- Follow their applications: each job with the stage name you chose for candidates on the Pipeline page, such as Being reviewed, never your internal stage names.
- Add documents: PDF or Word (.docx) files, up to 10 MB each and 20 per application, while the application is open. The job's hiring team is told.
- Withdraw an application, with a reason if they want to give one. The application shows as withdrawn on the board, waiting automations stop and the hiring team is told.
- Read and answer offers: every offer you have sent them, with its answer date. They read the full text, download it as a PDF and accept it with the same simple electronic signature as on the offer page, or decline it with an optional reason. After accepting, the signed copy stays in the portal and arrives by email as an attachment. Drafts, offers waiting for approval and withdrawn offers never show.
- Stop text messages: if they agreed to SMS or WhatsApp messages, a button per channel stops them at once.
- Stay in or leave the talent pool: staying starts a new consent period.
- Download their data: a file with their details, applications, answers, offers with their signature records, consents, emails and text messages, with links to their documents that work for 15 minutes. Your team's notes, ratings and the offers' internal history are not in it.
- Ask for a correction or for erasure. A correction needs a note of what to correct. Both become data requests for your admins, with a month to answer.
Everything they do is on their timeline and in the audit trail with their name.
Languages and branding
The portal speaks English and German, and uses your career site's logo and colour. Emails with sign-in codes come from your career site's address.
