Edit an order

Add or remove items, change quantities or the discount on a placed order. Commerce Orbit works out the new total and VAT, charges or refunds the difference through Stripe, and tells the customer.

How-to guide2 min read

Customers change their minds. Select Edit on an order to add an item, swap a size, change a quantity or give a discount, without cancelling and starting again. Editors and Admins can edit orders.

What you can change

  • Items: add products, remove lines and change quantities. New items get the shop's price, or the company's price list for a business customer.
  • Discount: keep the one the order has, remove it, or give a percentage or an amount off.

While you make changes, the dialog shows the new total, the difference and what will happen with the money. Write a reason if you like: it goes in the order's history and in the email to the customer.

What can't change

  • Items that have been sent stay on the order. You can't go below the number sent.
  • Shipping stays as it was charged.
  • An order that is cancelled, still waiting for payment, or has a refund can't be edited. Refund or send what's needed instead.
  • An order paid partly with a gift card, or with a gift card or subscription on it, can't be edited.
  • On an order with US sales tax, you can only remove items or lower quantities. The sales tax recorded in Stripe is reduced by the refund. Make a draft order for anything extra.
  • Quantity rules on a product, such as a minimum or packs of 6, still apply. New items get volume prices for their quantity.

The difference

Card, through Stripe
When the total goes up
The customer gets an email with a link to pay the difference. The order shows Waiting for the amount until they pay.
When the total goes down
The difference is refunded to their card straight away.
On invoice
When the total goes up
The invoice shows the new total.
When the total goes down
The invoice shows the new total.
Marked as paid by hand
When the total goes up
Settle it with the customer yourself.
When the total goes down
Settle it with the customer yourself.

Under Changes on the order you can copy the payment link or withdraw it. You can't make another change while a payment is waiting.

The payment link needs Checkout Sessions access on your Stripe key. Without it, an edit that makes a card order cost more is refused before anything changes. See Connect Stripe.

If you later refund the order, the extra payment is refunded along with the first one. See Refunds and cancellations.

Stock

Added items are taken from stock and removed items go back, and both show in the stock history as Order changed.

MAM

If MAM has already taken the order, change it in MAM too. The history on the order says so. Orders still waiting to go to MAM are sent as they are after the change.
