The traveller portal

Where travellers see their bookings, pay what is due, turn automatic payments on or off and write to you, signed in with a code sent to their email.

Explanation3 min read

The traveller portal is the part of your booking pages where travellers look after their own bookings. It shows your brand name, logo and colour, in the language chosen on the booking site. Its address is your booking address followed by /portal, such as /travel/book/northwilds/portal, and the booking pages link to it as My bookings.

Every email Travel Orbit sends a traveller about a booking links to the portal. If you run your own account page on your website, an Admin can enter it under Traveller account page in Booking settings, and emails link there instead. Your developers build that page with the booking API.

Signing in

Travellers don't need a password or an account. They type the email address they booked with and select Email me a code, and get a six-digit code by email. The code works for 10 minutes, and five wrong tries end it. Once signed in, they stay signed in on that device for 12 hours.

The portal only sends a code to the lead traveller's address of a confirmed, requested or cancelled booking, and it says the same thing whether or not the address has a booking, so nobody can find out who your travellers are by trying addresses.

What travellers can do

  • See their bookings: each trip, departure date, reference and travellers, including requests and cancelled bookings.
  • See the payment plan: every payment with its due date, amount and status, such as Paid, Due or Payment failed, and how much is paid and left to pay.
  • Pay: Pay next payment or Pay everything left, with any method your Stripe account offers.
  • Automatic payments: turn them on, after paying once by card, so later payments are taken from that card on their due dates, or turn them off again. Each change is written in the booking's history.
  • Messages: write to you about a booking, and read what your team wrote to them. See below.

A booking belongs to the email address of its lead traveller. Other travellers on the booking can't sign in to it with their own address.

What travellers can't do

Changing who travels, their names, dates or extras, or cancelling, goes through you: travellers ask under Messages on their booking, or reply to any of your emails, and you make the change from the booking.

Travellers can't change their own details, such as their passport number, in the portal on your booking pages. If you run your own account page, it can let them update their phone, date of birth, nationality, passport, dietary needs and emergency contact until the trip starts. Each change is then in the booking's history, and you get a Traveller details changed notification, which you can choose to have emailed under Your notifications.

Without Stripe

If your Stripe account isn't connected, or the key stopped working, travellers can still sign in and see their bookings, and the portal asks them to contact you to pay.

Messages

Each booking that isn't cancelled has Messages in the portal: what your team wrote to the traveller and their answers. Travellers can write to you there at any time, and the message comes into the booking's Conversation in Travel Orbit, where your team is told. Team notes are never shown. See Notifications and teamwork.
