Booking settings decide how your booking pages, emails and traveller portal look, and the legal details travellers see before they book. Open it from Settings in the sidebar. Each brand has its own. Everyone can read it; only Admins can change it.
Changes wait until you select Save settings at the bottom. Undo changes puts back what was saved.
Booking site
- Booking address: your booking name, such as
northwilds. Your booking pages live at an address ending in/travel/book/northwilds, each published trip has its own page under it, such as/travel/book/northwilds/lofoten-ski-touring-week, and the traveller portal is at/travel/book/northwilds/portal. Use 2 to 60 lower-case letters, numbers and hyphens. No other organisation can have the same one. The buttons beside it copy the address and open your booking site. - Brand name: the name travellers see on the booking pages and in emails, such as Northwilds.
- Logo: the address of an image, at least 64 pixels high. A wide logo on a clear background works best.
- Colour: used for buttons and the line under the header, on booking pages and in emails, such as Northwilds' dark green.
Preview shows the booking site with your brand as you change it.
Changing the booking address breaks links you have already shared, and travellers' reply addresses change with it. Choose one you can keep before you publish trips. See Booking pages.
Emails to travellers
Confirmations, receipts and payment reminders come from your brand. The section starts with the address they come from; Send from your own domain opens Email sending, where you can send from an address such as trips@northwilds.com. See Your own sending domain.
- Contact email: where we tell you about new requests, and where email to your booking address goes when it isn't about a booking, such as
trips@northwilds.com. Replies about a booking come into the booking itself. See Emails to travellers. - Booking terms: a link to your full terms. Travellers accept them before they book, along with each trip's own terms.
- Traveller account page: if your own website has a page where travellers see their bookings, such as
https://northwilds.com/account, emails link there. Leave it empty to use the portal on your booking site.
The words of every email, with a preview, are under Email templates: Edit under Email templates at the foot of the section opens it. See Email templates.
Languages
The languages your trips, destinations and booking site come in. Travellers get emails in the language they booked in.
- Main language: the language you write everything in first, such as English. Anything not translated yet shows in it. Changing it doesn't translate what you have written.
- Other languages: the languages you translate into, such as Norwegian Bokmål and German. Taking a language away hides it from the booking site and the editors, but keeps its translations, so they come back if you add it again.
- Machine translation: offers Translate from and Translate everything missing while your team edits another language. Translations are suggestions you check before you publish.
- Translate with: DeepL, or Your AI provider, which uses the provider and model from AI writing. An option that isn't ready says "(not set up)".
- Never translate: place names, brand names and local words that stay as they are in every language, such as Lofoten, Northwilds or rorbu. Type each one and press Enter. Machine translation and AI writing both keep them. Up to 200 words, of up to 80 characters each.
- Translate everything missing: shown when you offer more than one language. Choose a language to fill every empty translation in trips, destinations, guides, places to stay and these settings (kinds of day, meals and the guarantee text). Save your changes first. Text you wrote stays as it is.
See Languages.
Checkout
How bookings are taken on your own website and on your booking pages.
- Your websites: to take bookings on your own website through the booking API, add its address, such as
northwilds.com, and press Enter or select Add. Up to 20 websites. Only these sites, and your own booking pages, can price and book through the API. Trips can be read from any website. See The booking API. - Hold places for: how long places are kept while a traveller pays at checkout, from 5 to 120 minutes. It starts at 15. If the payment isn't finished in time, the places go back on sale.
- Currency for new trips: the currency a new trip starts in. Each trip can have its own.
Reports
Show money in is the currency totals are shown in across Travel Orbit: the overview, bookings, requests, payments, departures, traveller lists, trips, discount codes and reports. It starts as your currency for new trips.
Amounts in another currency are converted with the European Central Bank's daily rates and marked with ≈, such as ≈ NOK 14,223 for a booking of €1,240. The original amount and the rate show under the amount or when you point at it. Amounts already in your chosen currency are shown exactly. When there is no rate for a currency, the amount is shown in its own currency instead.
Each booking is still charged and refunded in its own currency. When you record a payment or refund, you enter the amount in the booking's currency, with the converted value next to it as a guide. Downloaded payment lists, traveller lists and reports keep the original amount and currency, with an extra column for the amount in your chosen currency.
Icons
The icons your team can choose from for extras and kinds of day, such as a bed for a room of your own or a bus for airport transfers. Search the list, then select an icon to offer it or take it away. Use the standard set goes back to the icons you started with. An extra keeps its icon even if you stop offering it. At least one icon stays on offer.
Kinds of day
The kinds of day your team chooses from in a trip's itinerary, such as Arrival, Activity or Free day. Travellers see the name and icon under each day on the trip page, and the booking API returns them. Editors can add a kind straight from the itinerary; Admins manage them all here:
- Add a kind: give it a name, such as "Summit day", and an icon.
- Rename: type a new name. The days that use it show the new name.
- Change the icon: select the icon next to the name.
- Reorder: drag a kind by its handle. The itinerary shows them in this order.
- Hide: select the eye to stop offering a kind in the itinerary. Days that already use it keep it, and the trip page still shows it.
- Remove: only for kinds you added and no day uses. If days use it, Travel Orbit tells you how many, so you can hide it instead. The standard kinds can be renamed and hidden, but not removed.
When you offer more than one language, each name has a tab for each language, such as "Toppdag" in Norwegian. The standard kinds are already translated into Norwegian and German until you rename them.
Meals
The meals your team can tick as included on each day of an itinerary, such as Breakfast, Lunch and Dinner. Travellers see them under each day on the trip page. Editors can add a meal straight from the itinerary; Admins manage them all here, in the same way as kinds of day: add, rename, reorder, hide and remove.
A meal you added can be removed only when no day includes it. Breakfast, lunch and dinner can be renamed and hidden, but not removed. When you offer more than one language, each name has a tab for each language, such as "Matpakke" in Norwegian.
Organiser
The company that sells the trips, shown at the foot of every email and booking page:
- Legal name, such as Northwilds AS
- Registration number
- Address
- Country: where the company is registered. It decides which travel guarantee rules apply.
Travel guarantee
Shown when the organiser's Country is Norway. Norwegian organisers must provide security with Reisegarantifondet before they sell package trips. Use Reisegarantifondet fills in the provider and a text for travellers.
- Provider: your travel guarantee fund, bond or insolvency insurance.
- Text for travellers: shown in emails and on booking pages. Leave it empty to say the trip is protected by the provider. When you offer more than one language, the text has a tab for each.
If you change the country to another one, the guarantee is removed when you save.
You are the organiser
When you sell a package of travel services, such as transport and accommodation together, you are the organiser under the EU Package Travel Directive and the package travel laws in Norway and the UK. Travel Orbit doesn't take that role from you. It shows your organiser details and guarantee in every email, and works out refunds from each trip's cancellation policy.
You remain responsible for the pre-contract information, the standard information form, protecting payments against insolvency, assistance during the trip and handling changes and cancellations. Check your own duties with your guarantee provider or a lawyer; Travel Orbit doesn't give legal advice.
