Payments, deposits and no-show fees
Take deposits, full prepayment, saved cards for no-show fees and packages of sessions through the location's own Stripe account, with refunds that follow your cancellation rules.
How-to guide2 min read
Customers pay straight into the location's own Stripe account. Bifröst Orbit never holds the money and takes no share of it.
Connect Stripe
- In Stripe, open Developers, then API keys, and create a restricted key.
- Give it write access to PaymentIntents, Refunds, Webhook endpoints and Charges.
- For saved cards and packages, also give it write access to Customers and SetupIntents, and read access to PaymentMethods.
- In Booking Orbit, open Payments, paste the restricted key and your publishable key, and choose Connect Stripe.
Booking Orbit checks what the key can do and lists each feature as ready or not. If something is missing, edit the key in Stripe and choose Check again. Taking deposits and prepayments keeps working even when an optional feature isn't ready.
Each location has its own Stripe connection, so Northwilds Oslo and Northwilds Bergen can pay into different accounts.
Choose what each service asks for
Under Services, each service can be:
- Free, or paid at the visit.
- A deposit, as a fixed amount such as NOK 200 or a share of the price such as 25%. The rest is paid at the visit.
- Paid in full when booking.
- Card saved: nothing is charged now, but a card is kept so a no-show or late cancellation fee can be charged afterwards.
A service with a deposit or prepayment can also save the card for a fee later.
When customers book, the booking page shows the card form. The time is held for 30 minutes while they pay. If they don't finish, the time is free again and the appointment is released.
Cancellations and refunds
Under Cancellations and no-shows on the Payments page you choose:
- Deposits come back: whether a deposit goes back when a customer cancels in time. Switch it off for a non-refundable deposit.
- Late cancellation refund: the share that goes back when a customer cancels after the cancellation deadline in Settings. 0% keeps it all.
- No-show fee: a fixed fee, or a share of the price, charged to the saved card after you mark an appointment as a no-show. What was already paid counts towards it.
When a customer cancels, the refund is worked out from these rules and made through Stripe automatically. When your business cancels, everything paid goes back.
You can also refund any payment by hand from Latest payments.
Packages
A package sells several sessions at once, such as five climbing lessons. Customers pay once and each booking of a covered service uses one session. A session cancelled in time goes back on the package. Choose how many days a package is valid, or leave it empty so it never expires.
Figures
The top of the Payments page shows what came in over the last 30 days after refunds, refunds, deposits held for appointments still to come, and no-show fees. Money in shows each day.
