# AI writing

> Draft, improve, shorten or warm up trip, destination, guide and place texts with AI, in your brand voice, following your own templates and in every language you offer. Set it up once with your organisation's own AI key. You decide what is used.

AI writing helps your team write trip pages faster without losing your own voice. It sits beside the text fields travellers read, writes in the language you're editing and uses the facts you have already entered, such as the trip's countries, days, difficulty, activities and itinerary.

## Write or rewrite a field

1. Select the sparkle button next to the field's name, such as **Summary** on the Lofoten ridge walk.
2. Say what the text should do, such as "mention the midnight sun and the wild swim at Kvalvika", or leave it empty.
3. Select **Write a draft** (or **Write new** when the field already has text). When the field already has text, you can also choose **Improve**, **Shorten**, **Friendlier** or **Fix spelling**.
4. Read the result. Select **Use this** or **Replace text** to put it in the field, or **Try again** for another version.
5. Select **Save changes** when you're happy. Nothing is saved before that.

Press ⌘ Enter in the request box to write straight away. For highlights and what's included or not included, AI writes the whole list, one line each, and you can change any line afterwards.

AI writing works on:

- **Trips:** name, summary, description, highlights, included, not included, each itinerary day's title and what happens, and the names and descriptions of rooms, packages and extras
- **Destinations:** tagline, introduction, travel guide, when to go, entry and visas, and the search title and description
- **Guides and places to stay:** a guide's about text and a place's description

## What AI never writes

AI never writes prices, payment plans, deposits, discounts, cancellation tiers or departure dates. Those fields don't have a sparkle button, and the text it writes leaves them out, because they change and must come from you. It doesn't invent facts either: when one is needed and missing, it writes a placeholder in square brackets, such as [hotel name], for you to fill in.

## Write in another language

When you edit a trip in another language, such as Norsk, the sparkle button writes in that language. **Write in Norsk** writes the field from your main language text, so it reads naturally instead of word for word. Words on your **Never translate** list in Booking settings, such as Lofoten or Reinebringen, stay as they are.

For quick, word-for-word translation, use **Translate from English** instead. See [Languages](https://docs.bifrostorbit.com/travel/everyone/languages/).

## Templates

Templates make every draft follow the same pattern, whoever writes it. There's one for each kind of text:

- **Trips:** **Trip description**, **Trip summary**, **Itinerary day**, **Highlights** and **Room or extra description**
- **Destinations:** **Country introduction**, **Country travel guide**, **Country: when to go**, **Country: entry and visas** and **Continent introduction**
- **Library:** **Guide biography** and **Place description**

Each template has:

- **Structure:** the parts of the text in order, each with a short note on what goes there. In rich text, such as a travel guide, a line starting with `##` becomes a heading. For Norway's travel guide that could be `## Getting around`, `## Food and drink`, `## Money and tipping` and `## Staying safe`. Plain text fields, such as when to go, follow the order but get no headings.
- **Style notes:** length, tone, whether to address the reader as you, and anything to always or never mention, such as "60 to 120 words, present tense, give walking times in hours".
- **Example:** optional. A text you like, such as your Lofoten ridge walk description, so AI matches its style and length. It never copies its facts or wording.

Every template starts with a starter template in plain British English, which you can use as it is. Templates stay off until writing with AI is switched on; you can prepare them before that, and they start working once it is. When a template applies, the sparkle button says so, such as "Follows the template for country travel guides". **Write a draft** and **Write new** follow the structure, **Improve**, **Shorten** and **Friendlier** keep it, and **Write in Norsk** keeps the same parts with the headings in Norsk. **Fix spelling** changes nothing else. Your brand voice and audience still apply on top.

Countries and continents have their own templates, so Norway's introduction and Europe's introduction can look different. Templates are written in your main language. AI still writes in the language you're editing.

### Change a template

1. Go to **AI writing** in the sidebar and open the template under **Templates**, such as **Country travel guide**.
2. Change the structure, style notes or example.
3. Choose an item under **Try it**, such as Norway, and select **Try it** to see a sample with its facts. It uses what's on screen, before you save, and saves nothing.
4. Select **Save template**.

Switch a template off to write that kind of text without it. **Use the starter template** brings back the starter text. Everyone can read the templates, and only Admins can change, try or switch them. Every change is in the [audit trail](https://docs.bifrostorbit.com/travel/everyone/audit-trail/).

## Draft a reply to a traveller

When writing with AI is on, the conversation on a booking has **Draft with AI** next to the reply box. It writes a short, plain email from your team, using the traveller's name, the trip and date, the booking's reference and status, and the conversation so far. Type a few notes first, such as "yes, rental boots in size 42 are fine", and the button becomes **Write it up with AI** to turn them into a reply. Read it and change it before you send it. See [Notifications and teamwork](https://docs.bifrostorbit.com/travel/everyone/notifications-and-teamwork/).

## Set it up

Admins set up AI writing under **AI writing** in the sidebar:

1. Under **AI provider**, choose **Anthropic (Claude)**, **OpenAI (ChatGPT)**, **Mistral (EU)** or **OpenRouter (many models)**, paste an API key from that provider and select **Check and save**. The key is checked with the provider, stored encrypted and never shown again.
2. Choose the **Model** to write with. The list shows the models your key can use; type in it to search.
3. Select **Try it** to see a sample summary for the Lofoten ridge walk in your brand voice.
4. Write your **Brand voice**, such as "Warm, plain and a little adventurous. British English. Short sentences.", and your **Audience**, such as "Active adults who like small groups and nights in simple cabins". Select **Save voice**. Both go with every request.
5. Switch on **Let editors write with AI**.

Under **Where editors see it** you can switch AI writing off for **Trips**, **Destinations**, or **Guides and places to stay**. **Send the trip's facts** decides whether the trip's countries, days, difficulty, activities, itinerary and guides go with each request. With it off, only the field and its current text are sent.

Text goes to the provider you chose, under your organisation's own agreement with them. Through OpenRouter, Travel Orbit asks providers to keep nothing and not to train on it. The page shows how many requests the organisation made this month, for writing and AI translation together. Every change to the settings is in the [audit trail](https://docs.bifrostorbit.com/travel/everyone/audit-trail/).

## Who can use it

Editors and Admins can write with AI and draft replies. Viewers don't see the sparkle button. Writing a lot at once is paused for a minute: "That's a lot of writing at once. Wait a minute and try again." Only Admins can add the key, choose the model, write the brand voice, change templates and switch AI writing on or off. See [Roles](https://docs.bifrostorbit.com/travel/everyone/roles/).
