# AI drafts and topics

> How to add your own AI key, what AI does in Presence Orbit, what it never writes, how topics and flags work with and without AI, and the rules for approvals and follow-ups.

Presence Orbit uses AI for two things: drafting replies and reading what reviews are about. A person on your team always chooses and publishes the reply; nothing is posted on its own.

AI drafts and AI tagging are in the Growth plan and above. Without them, or without a key, topics come from keywords and replies from templates, so everything else works the same.

## Add your AI key

You bring your own key, so you choose the provider and pay it directly.

1. Open **AI** under **Settings** in the sidebar. Only Admins can change it.
2. Choose the provider: Anthropic (Claude), OpenAI (ChatGPT), Mistral (EU) or OpenRouter.
3. Paste the key and select **Check and save**. Presence Orbit checks it with the provider, seals it and picks a suitable model. Only its last four characters are shown again.
4. Choose another **Model** if you prefer. A fast, inexpensive model is plenty for replies.

## What the provider sees

The review's text and rating, the location's public details, such as its name, town, opening hours and website, and your brand voice. Never your customers' email addresses or phone numbers.

## Reply drafts

**Draft with AI** in the reply box writes two drafts that differ in wording, in the language of the review. They use your **Brand voice** and **Signature**, so set those first, for example: "Warm and outdoorsy, first names, never corporate" and "Ingrid and the Northwilds team".

Drafts never confirm details about the customer, such as an order number or what they bought; never promise refunds, discounts or gifts; and never ask anyone to change their review. Every reply, AI or not, is checked for these before it is published.

## Topics, sentiment and flags

Each new review is tagged with:

- **Topics** from your list, such as Staff and service, Price and value or Waiting and speed, each with a sentiment;
- an overall **sentiment**: positive, mixed, neutral or negative;
- **flags** when it mentions legal action, an injury or illness, or discrimination.

With AI, the topics come only from your list, and AI also spots the review's language. Without AI, a topic is tagged when the review contains one of its keywords, and the sentiment follows the rating.

Edit the list under **Topics**: rename topics, change their keywords or add your own, up to 30. Changes apply to reviews that arrive afterwards.

## Approvals and follow-ups

The same page holds the rules for:

- **Replies need approval:** replies to this rating or lower wait for an Admin. See [Replying to reviews](https://docs.bifrostorbit.com/presence/everyone/replying/).
- **Open a follow-up for:** ratings at or below this open a follow-up automatically. See [Follow-ups](https://docs.bifrostorbit.com/presence/everyone/follow-ups/).
- **Flagged reviews:** always open a follow-up for a flagged review.
- **Due within:** how many hours a new follow-up has before it shows as overdue.
