# Send summary emails

> Send yourself and your team a weekly or monthly summary of a site, with the key numbers, a chart and a PDF, on schedule or straight away.

A summary email tells your team how a site did, without opening Insights Orbit. Each email has:

- six key numbers: visitors, visits, page views, average visit, bounce rate and goals completed, each with its change from the period before
- a chart of visitors per day, with the period before as grey marks
- the summary in a few sentences
- the top five pages, sources and goals
- a button that opens the dashboard for the same days
- a PDF of the same summary, to forward or print, named after the site and the days, such as `northwilds-insights-2026-10-19-to-2026-10-25.pdf`

Weekly summaries carry the same few sentences as **Last week in a few words** on the overview, written with AI when it is available and checked to hold only the week's own numbers. On Growth and up, they also list up to two [worth a look](https://docs.bifrostorbit.com/insights/everyone/overview/) suggestions.

Summaries and their PDFs hold only totals. Nothing in them is about a single visitor.

## Set one up

1. Open **Summary emails** under **Notifications** and select **New summary email**.
2. Choose the site and how often: **every week**, about the week before, sent on Monday at 07:00, or **every month**, about the month before, sent on the first at 07:00. Weeks, months and the time follow the site's time zone.
3. Choose who gets it, then select **Set it up**.

Only people with Insights Orbit in your organisation can get summaries; someone who loses access stops getting them. Editors and Admins can set summaries up and change who gets them under **People**.

## Send one now

You don't have to wait for Monday or the first of the month.

1. Open **Summary emails** and select **Send now** next to the summary.
2. Choose which days it covers:
   - **This week so far** (or this month so far), from Monday or the first up to now. It is compared with the same days of the week or month before, so Monday to Thursday is compared with Monday to Thursday. Today is drawn lighter in the chart, as it isn't over yet.
   - **Last week** (or last month), the last full week or month, compared with the one before. It is the same summary the schedule sent.
3. Select **Send me a preview** to see it in your own inbox first. Only you get a preview.
4. Select **Send to** to send it to everyone on the summary.

Sending one now doesn't change the schedule: the next summary still goes out on its date. Editors and Admins can send to everyone; Viewers can send themselves a preview. A summary can be sent now three times an hour, and each person can send themselves five previews of it an hour. Each send and preview appears in the [audit trail](https://docs.bifrostorbit.com/insights/everyone/audit-trail/).

## Stop getting one

Every summary has a **Stop these emails** link at the bottom. It stops that summary for you only. A preview has no link, as nobody else gets it. Deleting a summary under **Summary emails** moves it to the bin and stops it for everyone.

Starter includes one summary email; Growth and up have no limit.
