## The calendar

Open **Calendar** to see the location's appointments.

- **Staff** shows one column per person for a day. This is where most teams start.
- **Day** shows everyone together, side by side when appointments overlap.
- **Week** shows seven days.
- **Rooms** shows one column per resource.
- **List** shows the next two weeks as a list. On a phone, every view shows as a list.

Choose **By service** or **By person** to change the colours. Closed times are shaded, and time off and calendar busy times show as dashed blocks. A red line marks the current time.

## Book for a customer

Click an empty time in the calendar, or choose **New appointment**. Pick the service and the person, choose a free time or type one, then find the customer by name, email or phone, or add someone new. Booking Orbit checks the time is still free before it books.

## Move an appointment

- Drag it to another time, or to another person's column.
- Drag its bottom edge to make it longer or shorter.
- With the keyboard, select it and hold Alt with the arrow keys to move it 15 minutes or one column.
- Or open it and choose **Move** to pick from the free times.

If the new time isn't free, the appointment stays where it was and Booking Orbit says why.

## On the day

Open an appointment to:

- **Confirm** it, when the location approves each booking;
- **Check in** the customer when they arrive;
- mark it **Done**, or as a **No-show**;
- **Cancel** it, with a reason. The time becomes free again.

Each appointment keeps a history of who booked, moved, confirmed and cancelled it, with notes from the customer and notes for the team only.

## Find an appointment

**Appointments** lists what is coming up, waiting for approval, past and cancelled. Search by name, email, phone or the booking reference, and filter by person.
